
How Better Finance Processes Reduce Last-Minute Surprises

Last-minute finance issues rarely begin on the day something becomes urgent. More often, the pressure has been building in the background because information arrived late, an approval was delayed, a task depended on one person, or the process was not clear enough to catch the problem earlier.
In a recent conversation, our directors Chris and Leanne both spoke about how finance tasks become harder to manage when routine work still depends too heavily on the owner, particularly around receipts, payroll approvals, timesheets and other recurring inputs.
For established businesses, a better finance process should make those issues visible earlier, while there is still time to deal with them properly.
Last-minute problems usually start with missing inputs
Bookkeeping, payroll and reporting all depend on information being available at the right time.
If timesheets are incomplete, supporting documents are missing, or payroll is waiting on approval, the finance team is forced to work around gaps rather than follow a consistent process. The same applies to bookkeeping. If transactions have not been reconciled or information has not been provided, the reports produced later in the month may be less useful to management.
A business owner may still be responsible for approving payroll, supplying receipts or answering questions while also trying to run the business and generate revenue. As more tasks depend on that one person, delays become more likely.
A stronger process makes handovers clearer and gives the finance team enough time to follow up on anything missing before it becomes urgent.
Every obligation needs an internal process
External due dates are important, but they should mark the end of a process rather than the beginning.
For September, the ATO lists the August monthly activity statement for lodgement and payment on 21 September. It also lists 30 September obligations for certain employers with closely held payees and for closely held trusts required to lodge an annual TFN withholding report (ATO, 2026).
Those dates will not apply to every business, but they are a useful reminder that different obligations can sit alongside each other within the same month.
